Picking the right venue can make or break your event. Here are the key factors every event planner should consider before booking.
Always book a venue that comfortably fits 10–20% more than your expected attendance. Overcrowding is a safety hazard and ruins the experience. Confirm the venue's official seated and standing capacity before signing any contract.
Choose a venue that is easy to reach for most of your guests. Consider proximity to major roads, airports, hotels and public transport. In cities like Lagos or Nairobi with heavy traffic, a central location saves your guests significant travel time.
A good event center should offer reliable power supply (including backup generator), high-speed internet, audio-visual equipment, parking, air conditioning and accessible restroom facilities. Ask for a detailed amenities checklist before visiting.
Ask for a full breakdown of costs: hall rental, security deposits, catering fees, setup and teardown time, overtime charges and any hidden costs. Compare at least 3 venues before making a decision. Many venues offer weekday discounts.
